Co-hosting an event: brands, offers and the lineup
An event has one host -- the person who created it -- and any number of co-hosts: the brands and distributors whose bottles are sold or poured there. The host decides the lineup. Each co-host decides only about its own bottles.
Two ways a brand joins an event
| Who starts it | How | Where it is answered |
|---|---|---|
| The host invites the brand | On the event's Partners tab, choose the brand and press Invite. Leave the share blank if they are bringing bottles rather than splitting the door. | The brand accepts on Events → Co-hosting. |
| The brand asks to co-host | On Events → Co-hosting, under Your partners' events, the brand presses Offer to co-host and picks the bottles it would provide, with the most of each. | The host accepts on the event's Bar tab, under Asked to co-host. |
A brand sees Your partners' events only for businesses it has an active partnership with, and only events that are published and not over. Drafts stay private to the host.
For the brand: offering to co-host
- Open Events → Co-hosting. Your partners' events lists each published event you are not on yet.
- Press Offer to co-host. Your shelf opens, with what is available on each bottle -- stock already held for other events or promised to orders is not counted.
- Type the most you would provide of each bottle you want to offer, add a note if you like, and press Send offer.
Nothing is held when you send an offer. Your reps can keep selling those bottles until the host picks them. When she does, you are told which bottles and how many -- and those bottles are set aside for the event straight away, because your offer already said yes.
- She can take up to what you offered of each bottle, never more without asking you. An ask over your number, or for a bottle you did not offer, comes to you to answer like any other ask.
- You can withdraw an offer until the host answers it.
- If she declines, you are told, and you can offer again.
For the host: answering an offer and picking the lineup
- You are notified: "DISTRYB asked to co-host ... and offered 48 bottles."
- On the event's Bar tab, Asked to co-host shows each bottle offered and the most you can take. Press Accept to make them a co-host -- or Decline.
- Under Ask a brand for stock, choose the brand. Its shelf opens; bottles from its offer say Offered -- set aside when you ask.
- Tick the bottles you want and, for each, choose to sell or to pour, and how many. Press Ask.
Anything within the brand's offer is set aside at once. Anything else waits for the brand to answer.
Selling and pouring
Every event has one seller, set when it is created -- see Selling bottles at your events. That decides which bottles can be sold:
- At a Famous Wine & Spirits event, bottles to sell come from DISTRYB's main storeroom. A co-host whose bottles are somewhere else can still be picked to pour.
- At a venue event, the venue sells its own shelf; co-hosts' bottles are poured.
- Where nobody sells, every bottle is poured.
The offer form says so up front if your bottles cannot be sold at that event.
Samples: the host's sample shelf
A host keeps the sample bottles she holds on her Sample shelf (Events → Sample shelf). It is kept apart from anything for sale: nothing on it can be sold, offered to a buyer or counted as stock.
Samples she already has. Press Add samples you already have, choose the brand, and enter how many of each bottle. They are recorded as on hand before tracking began.
Samples from a brand, for an event.
- On the event's Bar tab, under Ask a brand for stock, pick the bottles and choose Samples to keep.
- The brand approves, which sets the bottles aside on its shelf.
- When the bottles are in her hands, she presses Received on that bottle on the Bar tab. That one step:
- adds them to her Sample shelf, and
- records them on the brand's inventory as samples given to her business -- by name, under the brand's usual tax treatment for samples.
Until she presses Received, they stay set aside on the brand's shelf.
Using them. List a bottle on the Bar tab with I already have this -- list to pour so it is on the lineup and can be rated. After the tasting, open the Sample shelf and press Record used with how many were poured or given away. Recount sets the shelf to what she actually has, and both are kept in the shelf's history.
Bottles poured from a host's own samples were already taken off the brand's books when she received them. They are never taken off again.
After the event
Each co-host closes out its own bottles -- see After the night.
